Overview of Position
South Island Wellness Society (SIWS) is seeking a professional and organized Office Administrator. We use traditional decision-making processes to support community-based collaborative planning for Indigenous families who need assistance addressing concerns about the care of their children. In addition, we provide 1:1 adult support, 1:1 youth support, cultural connections, family finding, and our Elder’s program.
This role is vital in ensuring smooth daily operations, providing excellent customer service, and supporting administrative functions within our office. The ideal candidate will possess strong clerical skills, be proficient in office software, and demonstrate exceptional organizational and communication abilities.

Duties
- Manage multi-line phone systems, answer and assist with emails, handle correspondence via mail, screen calls/emails and direct inquiries to appropriate staff
- Perform data entry using Microsoft Office, Hubdocs, and other office software
- Input payroll (mileage, expenses, honorariums, timesheets, and travel claims) and coordinate cheques as needed
- Manage and track honorariums and gift cards
- Maintain records of monthly utility bills, benefits, internet, cell phones, and banking statements for the finance department
- Manage the security alarm alerts
- Manage benefits package and communicate with Canada Life
- Support with staff and IT communications
- Support operations including client check-in/out, staff check-in/out, insurance verification, and record keeping
- Order and maintain inventory of office equipment (cleaning supplies, snacks, handouts, pamphlets, etc.)
- Manage travel arrangements for staff, Elders, Knowledge Keepers, and Board members
- Set up for community/cultural events and Board meetings
- Record minutes at bi-weekly staff meetings and quarterly Board meetings
- Manage referral forms and organize filing systems, both digitally and physically
- Support administrative tasks (proofreading documents, preparing reports, managing calendars)
- Greet visitors and clients at the front desk with professionalism and courtesy
- Perform other related administrative duties as needed
Qualifications
- Business Administration Diploma OR proven experience in office administration or clerical roles with minimum 2-3 years of experience (courses in Office Administration are an asset)
- Prior experience in front desk operations or customer support roles
- Skilled with Microsoft Suite (Word, Excel, Outlook); knowledgeable in Hubdoc and Canva
- Ability to process financial transactions (receipts, bills, payroll, etc.)
- Must maintain confidentiality
- Great verbal and written communication
- Experience and knowledge working with Indigenous people is a benefit
- Self-starter, able to work independently with minimal supervision while maintaining a team-oriented attitude
- Effective problem-solving and organizational skills with the ability to multi-task
- Familiarity with bookkeeping practices
- Excellent phone etiquette with experience handling multi-line phone systems
- Attention to detail for proofreading, accurate data entry, and filing systems
- Acceptable criminal record check required
- Valid BC Driver’s License with acceptable driver’s abstract and access to reliable transportation is required
